About ESC

The Engineering Student Council at the University of Kentucky is committed to providing services and to furthering the development of the engineering student body. We will provide the means to coordinate the interactions of the engineering student organizations, for better communication between them and to enhance student programs. We will act as the liaison to the faculty, administration and Alumni Association to express student concerns and our commitment to the continuous improvement of the College of Engineering.

Activities of the Engineering Student Council include:

  • Freshman Orientation– A program set up to welcome the new Engineering Students to the college and allow them to talk to current students to get a students answer to their questions, it also allows them to learn about the various Engineering Organizations they can get involved with.
  • Engineers Day– E-day occurs every year in late February during the National Engineers Week, it is a way for kids from elementary to high school to learn more about UK’s College of Engineering, student organizations hold contest for the kids and several companies attend to show what Engineers are doing in the “Real World.”
  • Dean’s Forum– A way for the Dean to let the students know what is going on in the college and allow the students to ask questions about the college.

Meetings are held monthly and all engineering students are welcome to attend.

Engineering Student Council

Article I – Preamble

Section I

The name of this organization under this constitution shall be “The Engineering Student Council”, henceforth named ESC in this document.
The ESC will be composed of voting and non-voting members. Voting member status will be given to those members that maintain “good standing” with the ESC.
The term “Good Standing” shall refer to those members that attend ⅔ of council meetings and participate in College of Engineering and ESC Events.
This document shall be reviewed at the start of each school year by the first full body meeting of the ESC.

Section II

The purpose of the ESC shall be:

  1. To act as the official organization of the Student Body of the College of Engineering on all matters except those assigned to other student organizations in the College of Engineering.
  2. To act as a liaison between the students and the faculty of the College of Engineering.
  3. To provide and conduct a forum for the discussion of student activities.
  4. To further the general welfare of the College of Engineering, at the University of Kentucky.

Article II – Membership

Section I

The membership of the ESC shall consist of students in the College of Engineering of the University of Kentucky <regardless of race, ethnicity, national origin, religion, faith, age, gender, gender identity, and expression, sex, sexuality, economic class, social class, and all other identities represented on our campus specified in the following Sections.

Section II

The College of Engineering Senators on the University of Kentucky Student Government shall be full voting members of the ESC during their tenure as senators.

Section III

Registered Student Organizations (RSO) shall maintain an elected representative from its membership on the ESC. Eligible organizations can be found on the ESC website here.

Section IV

One junior representative from each department shall be elected by a majority vote of the students in that department. The honor society in each department is responsible for running the election of these representatives.

Elections will be held one week after the first ESC meeting or three weeks after the start of the fall semester, whichever occurs first. Elections shall be organized by an elections committee who will have been appointed at the last ESC meeting of the previous Spring semester.

Section V

Two sophomore engineering majors shall be elected within 4 weeks of the first official day of classes, to represent their class on the ESC.

Section VI

The election committee shall coordinate all representative elections. Representatives may be nominated by fellow classmates or self-nomination. Nominations will begin the first week of the fall semester and will cease during the election meeting.

Section VII

  1. Should any new organization be created, a ¾ vote by the ESC shall be necessary to admit that organization’s representative.
  2. As the council desires, it may add either voting or non-voting members to sit on the council by a ¾ vote of the council.
  3. The duration of such a membership shall be one year.

Article III – Executive Officers

Section I: President

  1. The president of the ESC shall be elected from  current or previous executive officers. Elections for the President will follow the guidelines outlined in Article V.
  2. The newly elected president will officially assume the presidency at close of the Spring semester.It is the responsibility of the president of the ESC to call the first meeting of the academic year, and contact the members.
  3. After the first meeting, the president shall be responsible to call meetings whenever the need arises. These meetings shall be at least once a month with additional meetings when needed.
  4. Must attend monthly NAESC meetings

Section II: Vice President

  1. The Vice President of the ESC shall be elected from the student body of the College of Engineering. Elections for the Vice President will follow the guidelines outlined in Article V.
  2. The Vice President will be in charge of recruiting new members to the ESC.
  3. Must attend monthly NAESC meetings.

Section III: Secretary

  1. The Secretary of the ESC shall be elected from the student body of the College of Engineering. Elections for the Secretary will follow the guidelines outlined in Article V.
  2. Responsible for coordinating Alumni relations and interactions.
  3. Responsible for maintaining an updated list of the organizations’ standings.

Section IV: Treasurer

  1. The Treasurer of the ESC shall be elected from the student body of the College of Engineering. Elections for the Treasurer will follow the guidelines outlined in Article V.
  2. Shall be responsible for all financing needed by the ESC, and shall be responsible for the budget and books of the ESC, working in coordination with the Associate Dean of Engineering
  3. Responsible for maintaining updated information regarding Student Opportunity Funding allocation.

Article IV - Elections

The election process shall begin at least 3 meetings prior to the end of the spring semester.
The first two meetings will be nominations for each available position, and the third meeting will be the final election.
Each person nominated for a position shall have a two minute presentation, followed by a one minute Q&A.
For each available position, the nominated individual with the majority of anonymous votes shall be elected as the given role, transitioning into office at the end of the semester.

Article V – Committees

Section I

The basic structure of the ESC requires a committee system to tasks necessary to be done.

Section II

The following shall be standing committees:

  1. Finance Committee – shall be responsible for arranging all financing needed by the ESC, and shall be responsible for the budget and books of the ESC.
  2. Publicity and Publications Committee – shall be responsible for all announcements and publications by the ESC.
  3. Social Committee – shall be responsible for any social gathering sponsored by the ESC.

Section III

Ad hoc committees may be created by the ESC whenever the president or a majority of the members deem it necessary.

Section IV

Members of the ESC shall be required to serve as chairpersons and members of the above committees if in use, and failure to do so shall be dealt with as specified in Article VII.

Article VI – Members’ Responsibilities

Section I

Any member who does not participate in the ESC shall be asked to show cause why he should not be removed from the ESC.

Section II

It is the responsibility of the ESC president to decide whether a member is doing his share of ESC work or not.

Section III

If a member is not doing his assigned duties, then a vote must be taken by the council to remove the member from the council. A 2/3 vote shall be necessary to remove the member from the council.

Section IV

If a member loses his seat then the organization he represents shall have the option of sending a new representative to fill the vacant seat on the ESC and that new member shall assume the responsibilities of that seat.

Section V

If 6 members feel that the president is not doing the job expected of him, they may call for the removal of the president. A ¾ voting member majority will be required for removal.

Article VII – Amendments

These by-laws may be amended at any time by a ¾ vote by the members of ESC. A proposed amendment shall be voted on at the next meeting of the ESC following the meeting at which it was proposed. This vote may not be taken within a 6 day period following the proposed amendment.

Article VIII – Rules of Order

Robert's Rules of Order shall govern all cases not governed by these by-laws with interpretation left to members of the ESC.

National Association of Engineering Student Councils, Inc. (NAESC)

A not-for-profit organization dedicated to the continual improvement of the engineering educational experience and of the member councils which serve engineering students. NAESC is designed to foster communication and promote coordination between engineering student councils nationwide.

Student Opportunity Funding

Student Organization Forms and Instructions must be filled out by organization representative and include advisor’s signature.
 

UK Pigman College of Engineering Student Organizations
The UK Pigman College of Engineering sponsors more than 30 student organizations and societies. These include those specific to a discipline, such as AlChE, IEEE, or ASME; honor societies such as Chi Epsilon, Alpha Sigma Mu or Eta Kappa Nu; and college-wide organizations such as NSBE, SWE, or KSPE. These engineering student organizations are an important part of student success and provide valuable opportunities for learning outside the classroom, development of professional networks and friendships, as well as building technical, teamwork, and leadership skills.

Student Organization Funding Opportunities
Each student organization has its own unique mission and goals, and requires supporting resources to be successful in achieving those goals. These resources include funding, physical space, and help developing connections and partnerships. With respect to financial needs, there are many opportunities to raise funds:

  • Pigman College of Engineering Student Opportunity Funds
  • Wildcat Cage Application
  • Young Alumni Philanthropy Council (YAPCO)
  • Industry Partnerships – Talk with Career Development
  • UK Student Government
  • Individual and multi-organization fundraising opportunities Example: Partner with the Career Development Office to support the Career Fair
  • Individual membership dues or personal donations

Resources for Student Orgs

Criteria to be Eligible for Student Opportunity Funds

Any Pigman College of Engineering student organization that wishes to apply for Student Opportunity Funds must be in good standing with the Engineering Student Council and the College of Engineering based on the "Good Standing" criteria. The organization must also continue to be in good standing in order to receive any funds allotted.

If your organization does not meet the following requirements, you will not be in good standing, and may be ineligible for future, or previously allotted funding.
If you are a new student organization, please email ESC for requirements. Any questions about requirements should be directed to ESC directly.

Specific requirements for student opportunity fund eligibility are in the Fund Request Packet.

Organization Registration
Organization registration for the academic year is open during the summer and closes the week before classes start. If you are interested in joining ESC outside of this time period, please contact ukyesc@gmail.com.

Good Standing

To be in good standing, ALL student organizations must by date of funding application.

  • Register your student organization with ESC (Earlier registration strongly encouraged.) 
  • Have up-to-date information about your organization on the ESC website and chapter websites - includes officer information, contact information, advisor information, copy of bylaws/constitution.
  • Check the COE student org page and send updates to engr.uky.edu/web
    • Select Content Update and add ULR to the page needing updated.
  • Have up-to-date information about your organization in the display cabinets, if you have a display.

Additional requirements:

  • Have a representative at every ESC meeting, which are held monthly and set at the beginning of the semester (excused absences in advance to the ESC President or Secretary per ESC policies).
  • Participate in all required ESC events. This includes at a minimum:
    • New student Engineering Orientation
      • All existing organizations (except upperclassman honor societies and graduate student organizations) who received any support the previous year must set up a table/booth to provide freshmen with information about your organization.
    • Engineers Week/Engineers Day (E-Day)
      • Send 2 representatives for setup and 2 for cleanup.
      • Have a contest and/or information table.
      • Submit contest rules by given deadline to Eric Sanders, E-Day director

Application Process

Step 1
Ensure that your organization is in good standing (and remains in good standing) with the Pigman College of Engineering and the Engineering Student Council (ESC). 

Step 2
Fill out and turn in the Funding Request Summary and the Funding Request Spreadsheet. This is for Student Organization Opportunity Funding for the entire academic year. Submit or email these request documents to Tina Metcalf in room 355K of the James & Gay Hardymon Student Success Center, third floor of FPAT.

Step 3
The Associate Dean will verify the organization standing and review requests, and your organization will be notified by email of the results of your request.

Contact the Associate Dean for Undergraduate Education and Student Success, Dr. Mike Johnson, for questions or concerns. The Pigman College of Engineering also has the right to deny previously granted funds if the organization falls out of good standing before the funds are dispersed.
